Privacy Policy

Glimmer & Bloom Somatic Coaching is committed to protecting your privacy. This Privacy Policy explains what personal information I collect, how I use it, who it may be shared with, and your rights under UK data protection law.
 

1. Information I Collect

I may collect:

  • your name

  • email address

  • phone number

  • booking and attendance information

  • contact-form submissions

  • emails and other correspondence

Wix may also automatically collect technical information such as your IP address, device and browser information, and essential cookies required for website functionality and security.

I may make brief handwritten notes during a coaching session to support the conversation. These are not attached to your name, are not retained as client records, and are disposed of after the session.

Sessions are not audio or video recorded unless this has been separately discussed and expressly agreed.
 

2. How Your Information Is Used

Your information may be used to:

  • provide and manage coaching services

  • arrange appointments and send booking communications

  • respond to enquiries and correspondence

  • restore communication if an online session disconnects

  • maintain necessary business, financial and legal records

  • protect website and booking-system functionality

I do not send marketing emails unless you have separately agreed to receive them.
 

3. Legal Basis for Processing

I process personal information where necessary:

  • to provide and administer a service you have booked or chosen to access

  • for legitimate interests such as managing bookings, communication and my coaching practice

  • to comply with legal obligations

  • with your consent where consent is required

The lawful basis used depends on why the information is being processed.
 

4. How Your Information Is Stored

Personal information may be processed through:

  • Wix for website and booking management

  • Stripe for payment processing where applicable

  • Zoom for online coaching sessions

  • Google/Gmail for email communication and limited business administration

I do not have access to your full card details when payments are processed through Stripe.

I also keep a private record of non-identifiable initials and coaching hours for professional accreditation or certification purposes. Session content is not included.
 

5. Employer-Funded Coaching

Where coaching is funded by an employer or organisation, such as Cardiff University, the content of your coaching sessions remains confidential and is not shared with the funding organisation.

I may share limited practical information where necessary to administer the funded service, such as whether an allocated session was attended or used.

Any additional sharing of identifiable information would only take place where there is an appropriate lawful basis or where required by law.
 

6. Sharing Your Information

I only share personal information where necessary to provide or administer my services, with service providers such as Wix, Stripe, Zoom and Google, or where required by law.

Your personal information is never sold, rented or shared with third-party advertisers.
 

7. Data Retention

I keep personal information only for as long as reasonably necessary for the purpose it was collected, including where information needs to be retained for business, tax, insurance, legal or dispute-resolution purposes.

Temporary handwritten notes made during coaching sessions are disposed of after the session.

You may request deletion of your personal information unless I am legally entitled or required to retain it.
 

8. Your Rights

Depending on the circumstances, UK data protection law may give you the right to:

  • access your personal information

  • correct inaccurate information

  • request deletion or restriction

  • object to certain processing

  • request data portability

  • withdraw consent where processing relies on consent

You also have the right to complain to the Information Commissioner’s Office (ICO).
 

9. Minors

Services are available only to individuals aged 18 and over.

I do not knowingly collect personal information from minors.
 

10. In-Person Sessions

If an in-person or walking session is mutually agreed, no additional personal information is collected solely because the session takes place in person.
 

11. Changes to This Policy

This policy may be updated occasionally to reflect changes to my services, practices or legal requirements.

Any changes will be published on this page with an updated date.
